How to show your logo beside your emails in Gmail
What is the Gmail logo?
The Gmail logo is a square image that you add to a sender profile. Instant AI adds it to every email from that sender profile, so Gmail can show it as a round logo beside your sender name in the Promotions tab.
Why you need one
- Without it, Gmail shows the first letter of your sender name, or the picture on the sending Google account, beside your emails.
- Each sender profile has its own logo, so a brand that sends under more than one name (for example “CASIO Australia” and “G-SHOCK Australia”) can show the right logo for each one.
- If you showed a logo in Gmail from another platform, such as Klaviyo, this is how you show it again from Instant AI. You do not need to paste any HTML.
How to set it up
Before you start
- Prepare a square PNG or JPEG of your logo. Gmail crops it to a circle, so keep the important part in the middle.
- Gmail shows Promotions tab annotations only for senders that Google has approved. If you have not asked Google before, follow the steps in How to add Gmail Annotations for Instant AI.
Adding a logo to a sender profile
- Click the Settings cog in the bottom left corner of your Instant AI dashboard
- Select Email Settings
- Open the Account tab
- Under Sender profile, click Edit beside the profile you want to change
- Under Gmail logo (optional), click Upload logo
- Choose your PNG or JPEG file
- Move the crop box so your logo sits in the middle of the square, and check the Preview of the round logo and the Gmail inbox row
- Click Crop & upload
- Click Done
- Click Save Changes
Repeat these steps for each sender profile that needs a logo.
Note: The logo is not saved until you click Save Changes at the bottom of the page. Clicking Done only closes the sender profile.
Changing or removing a logo
- Go to Email Settings > Account > Sender profile and click Edit on the profile
- Click Replace logo to upload a new image, or click Remove to take the logo off
- Click Done
- Click Save Changes
How it works
Which emails include the logo
- Every campaign and flow email sent from the sender profile includes the logo.
- Emails sent as a Plain text email do not include the logo.
- A sender profile with a logo shows it as a small round image in your sender profile list, so you can see which profiles have one.
Where Gmail shows the logo
Gmail decides when to show the logo. It shows only:
- In the Gmail mobile app
- In the Promotions tab’s list of emails
- On emails the shopper has not opened yet
- In personal Gmail accounts
It does not show inside an opened email, in the Primary tab, in Gmail on a computer, or in Google Workspace (company) inboxes. Other email providers, such as Outlook and Apple Mail, ignore it.
Tip: Test emails sent to one or two people usually do not show the logo. To check it, look at a real campaign sent to your list, in the Gmail app on your phone.
FAQ
I uploaded a logo but I do not see it in Gmail. Why? Gmail decides when to show it, and it shows only in the Promotions tab of the Gmail mobile app, on unopened emails, in personal Gmail accounts. Google also needs to approve your sending domain for Promotions annotations. Check a real campaign rather than a test email.
Is this the same as the picture on my Gmail account? No. The picture beside your sender address in other places comes from your Google account settings. See How do I change my sender email profile picture in Gmail?. The Gmail logo in this article is added to the email itself and shows only in the Promotions tab.
Can each sender profile have a different logo? Yes. Each sender profile has its own logo. A profile without a logo sends no logo.
Does the logo change how my email looks when it is opened? No. The logo shows only in the Gmail inbox list. It does not change the header logo in your email. To change that, use your Brand Kit.
What file types can I use? PNG or JPEG. The upload crops the image to a square.
